What does waxing salon software cost for a three or four-therapist studio?

A waxing studio with three therapists and two treatment rooms has two different kinds of capacity.

There are the people who take bookings, and there are the rooms those appointments need.

Those numbers affect the business differently.

A fourth therapist may increase the software subscription without giving the studio another treatment room. Adding another room may increase appointment capacity without adding another bookable person to the software bill.

That makes waxing software easier to compare when you separate the costs rather than looking at one advertised monthly price.

What OpenChair costs for four therapists#

Add a fourth bookable therapist and the subscription becomes:

The Australian Pro subscription is capped at A$199 inc GST per active venue per month.

That cap applies to the Pro subscription. It is not a cap on every charge associated with using OpenChair.

Model room capacity separately from software price#

Moving from three therapists to four does not necessarily mean the studio can take four room-dependent appointments at once.

If the studio still has only two treatment rooms, those rooms remain the physical constraint for services that require them.

The fourth therapist may still create useful capacity through:

• different roster days;
• longer opening hours;
• leave coverage;
• services that use another suitable space;
• periods when fewer than three therapists are already working.

But software pricing and appointment capacity should not be collapsed into the same calculation.

Rooms and resources: what happens to the appointment capacity?

That makes the cost of adding another therapist easier to assess.

The subscription is only one part of the bill#

For a three-therapist OpenChair venue, A$74.95 is the current Pro subscription.

For four therapists, it is A$94.95.

Neither figure includes every operating charge.

Depending on how the studio uses the platform, separate costs can include:

• card processing;
• applicable payout charges;
• messaging overage;
• eligible paid AI usage;
• optional payment hardware.

A useful comparison keeps those amounts separate until you have enough information to model the studio's actual usage.

Card processing depends on the payments you take#

The current Australian OpenChair Pro card-processing rate is:

1.8% + A$0.30 per transaction.

That sits outside the Pro subscription.

To estimate the monthly processing cost, you need more than the studio's sales total because the fixed A$0.30 component depends on the number of transactions.

For example, A$20,000 processed across 100 transactions produces a different fee from A$20,000 processed across 250 transactions.

When comparing providers, use the same assumptions for:

• total card value;
• number of transactions;
• online deposits;
• in-person payments;
• saved-card charges where used.

Also check whether the advertised processing rate applies to the transaction type you actually use.

Do not compare one platform's in-person rate with another platform's online rate and treat them as the same thing.

Deposits and processing are separate from booking commission#

Waxing studios may use deposits or saved-card protection for particular services.

That can help protect committed appointment time, but a card payment still carries the applicable processing cost.

Keep three things separate:

1. the software subscription;
2. booking or marketplace commission;
3. payment processing.

SMS, email and Sparks are separate allowances.

Sparks are used for eligible billable AI work. They do not pay for SMS delivery.

Current Australian Pro overage rates are:

• A$0.10 per SMS segment
• A$0.002 per email

Included allowances reset each billing period.

Estimate what the studio actually sends before deciding whether an included allowance is generous or restrictive.

“SMS included” is not useful information until you know how much is included and what happens after that amount is used.

Keep AI usage separate from communications#

The same principle applies to AI usage.

On OpenChair Pro, included Sparks scale with the bookable team.

A three-therapist Australian venue currently receives 1,500 Sparks per billing period.

A four-therapist venue receives 2,000.

Eligible paid AI work can use Sparks. If included Sparks are exhausted, eligible overage can use the prepaid Wallet.

Automatic Wallet top-up happens only if the owner enables it.

Do not combine Sparks and SMS into one allowance.

For example, an eligible Smart Reply sent by SMS can involve an AI task and SMS delivery. Those are separate types of usage.

Decide which hardware the studio actually needs#

Use the full studio, not the solo headline price#

The useful software comparison for a waxing studio is not the cheapest number displayed at the top of a pricing page.

Price the studio you expect to operate.

Count the therapists who take bookings. Keep reception access separate where the provider does. Add payment processing, messaging, hardware and usage on their own lines. Check what direct and marketplace booking routes cost.
