Tell us which system you use and which records matter to your business. We agree how to supply the files, then review their structure and the fields that reasonably match OpenChair.

Agree the mapping and import
We confirm what will move, how it will be represented and anything that needs separate handling. Our team uses AI to assist with mapping and consistency checks as we prepare the import.

Check the results together
You know your clients and your diary. We work with you to compare the imported records with your source data, correct issues and re-run the import where needed. There can be several review rounds.

Choose the cutover together
We agree the result before moving your live bookings across. The final plan covers changes since the last export, booking links, reminders and when your team starts using OpenChair.
What would you like to bring across?
We work from the data you can supply. These are records we can assess with you, not a promise that every field or file will transfer unchanged.
If a field has no suitable match, we discuss the options and agree what to retain separately.
- Clients and visit history
- Contact details, notes and past visits. We check field matching, dates and duplicate records.
- Services, team and appointments
- Your menu and diary, including prices, durations, staff and booking statuses. We identify settings that need to be recreated.
- Colour formulas, photos and forms
- We assess the available notes and files, their client links and how they can be retained. Formula notes may remain notes rather than becoming structured recipes.
- Products and financial records
- Stock, gift cards, credits, deposits and memberships need their own checks. Moving a balance record does not transfer money, saved cards or recurring payment authority.
The checks are part of the import.
AI helps us map fields and spot inconsistencies. Our team reviews the work with you. Your source records remain the reference for checking what has arrived.
Before another import run, we agree which records need replacing or updating and how to handle duplicates. Before cutover, we account for changes made since the last export.
Before we switch, we review:
- The agreed records against the source export.
- Client matching, appointment dates, staff and service details.
- Any balances in scope and how they reconcile.
- Exceptions, corrections and records you will keep elsewhere.
- Who changes the booking links, reminders and final diary.
Questions before you move
Can you import data from my current booking system?
If you can supply the data, we will work through the import with you. We assess the fields against OpenChair and agree what can be mapped, what needs adjustment and what needs to stay in a separate archive. The source export determines the scope.
How much does migration cost, and how long does it take?
We confirm any charges, the scope and the timing after reviewing your export. The amount and condition of the data, the records involved and the review rounds all affect the work. Agree these details with us before committing to a switch.
What does AI do during the import?
We use AI providers listed in our Subprocessor List to help map fields and check the data for consistency. Before you send an export, we agree the records in scope, a secure transfer method and any sensitive-data handling needed. Our team reviews the work, and we check the imported results with you.
How is my data handled during a migration?
We restrict the export and working files to the people and listed providers involved in the agreed migration. We ask you not to include card details, passwords, authentication secrets or unrelated records. Working copies are retained only while reasonably required under our privacy and deletion terms.
What if we find something wrong?
We work through it together, correct the mapping or data and re-run the affected import where needed. We repeat the checks until both you and OpenChair are satisfied with the agreed result and ready to cut over.
Can we keep taking bookings while we prepare?
Plan to keep your current system as the booking source while we prepare and review the import. Before cutover, agree how we will capture new bookings, cancellations and other changes, and when booking links and reminders will move to OpenChair.
Is this the same as the booking-link import request?
The request inside OpenChair is for a support-managed service-menu import. For a wider migration, contact us to discuss your exports and the records you want to bring across. Submitting a booking link does not automatically transfer your client database or history.
