Payments process through Stripe with Tap to Pay on iPhone and Stripe Terminal in all three regions. Calendar Closures includes one-tap import of AU, NZ, and UK national public holidays. Support runs in local hours.

How much does spa and wellness software cost?+

OpenChair Pro is capped pricing. AU: $34.95 base + $20 per additional therapist, capped at $199/month. NZ: $24.95 base + $20 per additional therapist, capped at $199/month. UK: £19.95 base + £10 per additional therapist, capped at £99/month. A free tier runs forever for solo operators with 5 services. Card processing is 1.8% + 30c on Pro (AU; equivalent rates in NZD and GBP). No marketplace commission, no per-SMS line item, and SMS/email/Sparks (AI credits) are included up to clear seat-based caps.

Do you handle public holidays?+

Yes. Calendar Closures includes one-tap import of AU, NZ, and UK national public holidays. State-specific holidays (Victorian Labour Day, NSW Bank Holiday, the various UK regional holidays) you add manually. Closures cascade through your bookings with options to cancel and notify, reassign to a qualified therapist, or keep on the calendar with a flag.

How does OpenChair manage treatment rooms, beds, saunas, float tanks, and other equipment?+

Resources are a first-class concept in OpenChair. Define your treatment rooms, couples suites, facial beds, massage tables, infrared saunas, ice baths, float tanks, cryotherapy chambers, LED beds, and recovery pods as individual resources on Pro. Each service is linked to the room or equipment it actually needs. When a client books a float session, OpenChair checks that a float tank is available, not just a therapist. If all three float tanks are occupied at 2pm, the slot is withdrawn even if staff are free. No more two clients walking into the same room. Utilisation by room and machine surfaces in Intelligence.

Can I book couples treatments where one room and two therapists are held together?+

Yes. Couples and group bookings are a multi-service booking with the room and both therapists checked together before the slot is offered. A 90-minute couples massage holds the couples suite plus two therapists for the same window. Day-spa packages that move through a facial, a body treatment, and a manicure book the full sequence across the right rooms and therapists in one go. The schedule stays accurate. Nothing slips off the slip at the counter.

Can OpenChair replace our front desk for after-hours bookings?+

For many wellness venues, mostly yes. Your branded storefront handles 24/7 self-service booking, pre-arrival forms and waivers, deposit collection, and confirmation. Kiosk Mode runs walk-in check-in on an iPad inside the venue. AI Concierge (Pro) handles SMS enquiries conversationally and can confirm bookings while you're closed. Most venues still want someone managing the experience in-room, but the booking, intake, and check-in steps run themselves overnight and through the weekend.

Can I require waivers and intake forms before the appointment?+

Yes. Concierge is an AI chat assistant trained on your venue's bookings, clients, services, revenue, and team. You ask it questions in plain language: "who is overdue for their monthly facial?", "which laser clients have sessions remaining on their package?", "which treatments lifted average ticket last month?". It answers with your real data. You can also ask it to draft a package-redemption nudge, pull a client's full treatment history, or check tomorrow's room utilisation. Concierge runs on your venue's data only, never sees other venues, and stays inside your account.

Can clients book without creating an account?+

Yes. Clients can book from your branded storefront without creating an account. After booking, they manage, reschedule, or cancel through secure token links sent by SMS or email. Returning clients can use a lightweight My Bookings view if they want to see their treatment history. For spa clients this matters. They don't want another app. They want to confirm and arrive.

How does OpenChair handle deposits on high-value treatments?+

Deposit rules are per service: fixed amount or percentage, charged at booking through Stripe. Take a 50% deposit on a course of laser, a flat amount on a 90-minute facial, full prepayment on a couples package, or card-on-file for first-time clients. If a client cancels late or doesn't show, the deposit forfeits according to your cancellation policy. For series and packages, missed sessions can be configured to deduct from the remaining count or trigger a rebook nudge. Configurable per service, so a $60 brow wax doesn't get the same gate as a $400 skin treatment.

Can I keep before-and-after photos and treatment notes against the client?+

Yes. Treatment photos are stored privately against the client with consent capture before anything is promoted to a public portfolio. Skin notes, allergies, contraindications, medical alerts, product preferences, and visit history all sit on the client record so the therapist sees them the moment the booking opens. Front-desk staff can be locked out of clinical notes with role-based permissions. For venues running clinical and wellness services side by side, this is essential.

Can I run multiple locations on OpenChair?+

Yes. Each location runs as its own venue with separate staff, calendars, services, rooms, deposits, and storefront. You keep one login and one combined view of revenue, retention, and team performance across the group. Clients can move between locations without losing their history, consent records, or package balance. What devices can I use OpenChair on?+

OpenChair runs in any modern web browser (Chrome, Safari, Edge, Firefox) on Mac, PC, or Chromebook, with native iOS and Android apps for phone and tablet. Stripe Terminal handles card-present payments on the front desk. The mobile apps are designed for therapists working between rooms: check in a client, take a payment, snap a before-and-after, all one-thumb. An iPad mounted by the door becomes a self-service kiosk. The web app is where the owner-side work lives: Intelligence, configuration, room and roster planning.

How is OpenChair different from Mindbody, Boulevard, or Mangomint?+

Mindbody leads with marketplace discovery and adds Capital financing; it's heavy, US-shaped, and the contract terms reflect that. Boulevard and Mangomint pitch premium spa experiences with ePrescribe and HIPAA flags built for the US medspa market, useful if you're in the US, less so for AU, NZ, or UK. Phorest is genuinely spa-voiced but charges SMS and email as add-ons and locks you into annual contracts. OpenChair's angle is different: treatment rooms and equipment as first-class scheduling, intake and waivers held until signed, prepaid packages with a redeemed-vs-outstanding number, AI Concierge trained on your venue, capped pricing with SMS and email included, and a storefront calm enough that your guests don't feel like they're booking a haircut.

What's included on Pro each month?+

Pro includes SMS, email, and AI credit allowances that scale with your team. You get 100 SMS plus 50 per additional seat (capped at 550 per month), 1,000 emails per seat (capped at 10,000), and 500 Sparks per seat for AI features like Concierge and intake risk-scoring (capped at 5,000, where 1 Spark equals 1 cent). Overage runs through your Wallet with prepaid balance and auto top-up. No per-SMS line item, no surprise bill at the end of the month.

How long does it take to get set up?+

Most spas and wellness venues are live within 24 to 48 hours of starting their trial. Your service menu, room and equipment mapping, deposit rules, intake forms and waivers, prepaid package structure, and storefront branding can be configured in an afternoon. If you're migrating from another platform, we handle the client, package-balance, and booking history import for you in parallel. From signup to taking real bookings is usually under a week, even with a full data migration.

Can I bring my clients, packages, and consent records over from another platform?+

Yes, and migration is free. We pull your client list, service menu, staff, past appointments, and outstanding package balances out of your existing system and into OpenChair. We support imports from Mindbody, Fresha, Timely, Phorest, Vagaro, Boulevard, and Mangomint, plus CSV exports from anywhere else. Consent records, treatment notes, and before/after photos come across where your previous system exposes them. If they don't, we help your team set up structured client memory from the first OpenChair visit forward.

Are memberships supported?+

Recurring-billing membership tiers are on the OpenChair roadmap (in progress). Today, the closest substitute is recurring series appointments (book a client's next twelve facials at checkout, scheduled across your roster) plus prepaid packages (sell a six-pack of treatments with balance tracking). If a true membership tier with monthly billing is mission-critical for your venue today, tell us during onboarding. We'll be upfront about timing rather than over-promise.

Am I locked into a contract?+

No. OpenChair is month-to-month by default. Cancel any time from your account, and you take your data with you: client history, consent records, treatment photos, package balances, the full set. Annual billing is available if you want to lock in a discount. Pay for ten months, get twelve. Annual is opt-in, never the default.
