The revenue leak
Spas don't lose money on the obvious line. It leaks through treatment rooms that sat empty on a Tuesday, prepaid packages nobody redeemed, intake forms that held up arrivals, series visits that quietly stopped showing, and high-ticket guests who were never asked back.

Resource Ledger
Spas and wellness venues don't run on therapists alone. They run on couples suites, facial beds, massage tables, infrared saunas, ice baths, float tanks, cryo chambers, LED beds, and HydraFacial heads. OpenChair treats every room and every piece of equipment as a first-class bookable resource on Pro. If a float tank is taken at 2pm, the slot isn't offered for a float session even when a therapist is free. The double-booking you ate the cost of once stops happening.
Float tank 1 booked at 1pm. Slot withdrawn for a float session — therapist free, tank is not.

Self-service spa
Most spa software pitches the front desk. OpenChair lets the front desk be quiet. Your branded storefront handles 24/7 booking. Intake forms and waivers send the moment a booking is made and hold the appointment until they're signed. Deposits collect through Stripe. An iPad by the door runs check-in. AI Concierge picks up SMS enquiries overnight and confirms bookings on your venue's data. The receptionist isn't a booking screen anymore. She's running the experience.

Booked overnight
Couples & group
Couples massages and day-spa packages are where most platforms fall over. A couples booking needs the suite and two therapists held at the same time. A bridal half-day package books a facial, a body treatment, a manicure, and a foot ritual across three rooms and three therapists. OpenChair captures the whole sequence as one booking with the right rooms and therapists held together. The schedule stays accurate. The high-ticket booking doesn't slip off the slip at the counter.

Intake + consent
For spa, medspa, and wellness, intake isn't optional. Pregnancy, medications, recent sun exposure, prior reactions, contraindications: the therapist needs them on file before the client opens the door. OpenChair sends the intake form and the waiver the moment the booking is made, holds the appointment until they're signed, and runs a 48-hour patch-test timer where the service requires one. AI flags risky answers so the therapist sees them on arrival, not at the cubicle.

Pre-arrival check
Prepaid packages
Prepaid packages are how a spa earns the next twelve visits at once. Most platforms let you sell them and then lose sight of them. OpenChair tracks every package balance against the client, redeems sessions at checkout, and surfaces total outstanding balance as a liability number in Intelligence. The clients with sessions remaining get redemption nudges before expiry. The accounting team gets a real number, not a guess.

Series + cadence
Wellness revenue lives in the cadence. The maintenance facial every month. The therapeutic massage every fortnight. The infrared protocol every Tuesday for eight weeks. OpenChair lets a client book the whole series at checkout, with every visit scheduled around your roster, every reminder sent automatically, and every missed visit triggering a rebook nudge instead of a manual list. Memberships are on the roadmap. Recurring series do the work today.

Series running
AI Concierge
Concierge knows your spa. Every booking. Every package balance. Every series cadence. Every treatment a guest has had this year. Ask which laser clients still have sessions on the clock. Draft a redemption nudge for facial packages expiring this month. Pull tomorrow's room utilisation. The work that used to mean five tabs and a spreadsheet takes one sentence. It sounds like your venue. It never sees another venue's data.

Client memory
A returning client wants the maintenance facial she had in March, the one with the lactic peel and the LED. She also can't have retinol because of the medication she started in April. OpenChair stores treatments, product preferences, contraindications, medical alerts, and before-and-after photos against the client record so the therapist sees the full picture the moment the booking opens. New therapists onboard faster. Regulars don't have to re-explain themselves.

Client profile
Owner intelligence
Spas generate signal most platforms ignore. OpenChair brings together revenue per room, utilisation per machine, outstanding package liability, series compliance, average ticket per therapist, deposit performance, commissions and tips, and AI narrative reports in one Intelligence view. Which Tuesday afternoon needs a flash package. Which suite is losing you money. Which therapist is converting consults to series. No spreadsheet work.

OpenChair for spas and wellness is spa management software that runs your treatment-room and equipment scheduling, couples and group bookings, intake forms and waivers, prepaid packages and recurring series, branded booking, and AI Concierge in one place. Built for AU, NZ, and UK day spas, medspas, and wellness centres. From $34.95 AUD / $24.95 NZD / £19.95 GBP per month for one therapist, capped at $199 / $199 / £99 no matter how big your team gets. Zero marketplace commission. Free 14-day trial.
Competitor contrast
Every spa platform claims an all-in-one calendar. The stronger question is who owns the guest relationship, who pays for growth, and whether the system actually accounts for the package balance on your books.
Boulevard and Mangomint lead with ePrescribe and HIPAA. Useful in the US, irrelevant in AU, NZ, and UK. OpenChair speaks Privacy Act and GDPR.
Mindbody and Fresha route clients through their marketplace and want a cut. OpenChair gives you your own domain, zero booking commission, and your client list stays yours.
Mindbody and Boulevard scale per seat with sales calls. OpenChair caps at $199 AUD / $199 NZD / £99 GBP per month no matter how many therapists you run.
Try it free for 14 days. No commission. No card. No lock-in.

OpenChair is built for spas and wellness venues in Australia, New Zealand, and the United Kingdom. Pricing is in your local currency (AUD, NZD, or GBP). Payments process through Stripe with Tap to Pay on iPhone and Stripe Terminal in all three regions. Calendar Closures includes one-tap import of AU, NZ, and UK national public holidays. Support runs in local hours.
OpenChair Pro is capped pricing. AU: $34.95 base + $20 per additional therapist, capped at $199/month. NZ: $24.95 base + $20 per additional therapist, capped at $199/month. UK: £19.95 base + £10 per additional therapist, capped at £99/month. A free tier runs forever for solo operators with 5 services. Card processing is 1.8% + 30c on Pro (AU; equivalent rates in NZD and GBP). No marketplace commission, no per-SMS line item, and SMS/email/Sparks (AI credits) are included up to clear seat-based caps.
Yes. Calendar Closures includes one-tap import of AU, NZ, and UK national public holidays. State-specific holidays (Victorian Labour Day, NSW Bank Holiday, the various UK regional holidays) you add manually. Closures cascade through your bookings with options to cancel and notify, reassign to a qualified therapist, or keep on the calendar with a flag.
Resources are a first-class concept in OpenChair. Define your treatment rooms, couples suites, facial beds, massage tables, infrared saunas, ice baths, float tanks, cryotherapy chambers, LED beds, and recovery pods as individual resources on Pro. Each service is linked to the room or equipment it actually needs. When a client books a float session, OpenChair checks that a float tank is available, not just a therapist. If all three float tanks are occupied at 2pm, the slot is withdrawn even if staff are free. No more two clients walking into the same room. Utilisation by room and machine surfaces in Intelligence.
Yes. Couples and group bookings are a multi-service booking with the room and both therapists checked together before the slot is offered. A 90-minute couples massage holds the couples suite plus two therapists for the same window. Day-spa packages that move through a facial, a body treatment, and a manicure book the full sequence across the right rooms and therapists in one go. The schedule stays accurate. Nothing slips off the slip at the counter.
For many wellness venues, mostly yes. Your branded storefront handles 24/7 self-service booking, pre-arrival forms and waivers, deposit collection, and confirmation. Kiosk Mode runs walk-in check-in on an iPad inside the venue. AI Concierge (Pro) handles SMS enquiries conversationally and can confirm bookings while you're closed. Most venues still want someone managing the experience in-room, but the booking, intake, and check-in steps run themselves overnight and through the weekend.
Yes. On Pro, you build custom intake forms and liability waivers with the form builder, including conditional logic for different risk profiles (pregnancy, medications, contraindications, recent sun exposure, prior reactions). Forms send automatically when the booking is made, and the appointment is held until they are signed. Patch tests get a 48-hour timer where a service requires one. Signed forms are stored against the client with a timestamp and IP record. You can set waivers to expire and require re-signing annually. AI flags risky answers so the therapist sees them before the client opens the door.
Yes. Prepaid Packages let you sell service packs (six facials, ten massages, four-session skin needling) and service combos (a day-spa flow that books a facial, a body treatment, and a foot ritual as one item). Clients buy on your storefront or at the counter. Redemption happens at checkout, with the remaining balance tracked against the client. Expiry runs on a daily cron. Outstanding balance and unredeemed sessions surface in Intelligence as a liability number, not a mystery line in your accounting tool.
Yes. Recurring series appointments let you book a client's next twelve facials at checkout. Every month, every fortnight, every Tuesday at 10am. The series schedules itself around your roster, skips closed days, and rolls forward automatically. The client gets one confirmation up front and reminders before each visit. For clients on a maintenance protocol, this is the membership story without the membership tier: locked-in cadence without the admin.
Concierge is an AI chat assistant trained on your venue's bookings, clients, services, revenue, and team. You ask it questions in plain language: "who is overdue for their monthly facial?", "which laser clients have sessions remaining on their package?", "which treatments lifted average ticket last month?". It answers with your real data. You can also ask it to draft a package-redemption nudge, pull a client's full treatment history, or check tomorrow's room utilisation. Concierge runs on your venue's data only, never sees other venues, and stays inside your account.
Yes. Clients can book from your branded storefront without creating an account. After booking, they manage, reschedule, or cancel through secure token links sent by SMS or email. Returning clients can use a lightweight My Bookings view if they want to see their treatment history. For spa clients this matters. They don't want another app. They want to confirm and arrive.
Deposit rules are per service: fixed amount or percentage, charged at booking through Stripe. Take a 50% deposit on a course of laser, a flat amount on a 90-minute facial, full prepayment on a couples package, or card-on-file for first-time clients. If a client cancels late or doesn't show, the deposit forfeits according to your cancellation policy. For series and packages, missed sessions can be configured to deduct from the remaining count or trigger a rebook nudge. Configurable per service, so a $60 brow wax doesn't get the same gate as a $400 skin treatment.
Yes. Treatment photos are stored privately against the client with consent capture before anything is promoted to a public portfolio. Skin notes, allergies, contraindications, medical alerts, product preferences, and visit history all sit on the client record so the therapist sees them the moment the booking opens. Front-desk staff can be locked out of clinical notes with role-based permissions. For venues running clinical and wellness services side by side, this is essential.
Yes. Each location runs as its own venue with separate staff, calendars, services, rooms, deposits, and storefront. You keep one login and one combined view of revenue, retention, and team performance across the group. Clients can move between locations without losing their history, consent records, or package balance. Reach out if you run more than one location, and we'll help you set up the right structure for your group.
OpenChair runs in any modern web browser (Chrome, Safari, Edge, Firefox) on Mac, PC, or Chromebook, with native iOS and Android apps for phone and tablet. Stripe Terminal handles card-present payments on the front desk. The mobile apps are designed for therapists working between rooms: check in a client, take a payment, snap a before-and-after, all one-thumb. An iPad mounted by the door becomes a self-service kiosk. The web app is where the owner-side work lives: Intelligence, configuration, room and roster planning.
Mindbody leads with marketplace discovery and adds Capital financing; it's heavy, US-shaped, and the contract terms reflect that. Boulevard and Mangomint pitch premium spa experiences with ePrescribe and HIPAA flags built for the US medspa market, useful if you're in the US, less so for AU, NZ, or UK. Phorest is genuinely spa-voiced but charges SMS and email as add-ons and locks you into annual contracts. OpenChair's angle is different: treatment rooms and equipment as first-class scheduling, intake and waivers held until signed, prepaid packages with a redeemed-vs-outstanding number, AI Concierge trained on your venue, capped pricing with SMS and email included, and a storefront calm enough that your guests don't feel like they're booking a haircut.
Pro includes SMS, email, and AI credit allowances that scale with your team. You get 100 SMS plus 50 per additional seat (capped at 550 per month), 1,000 emails per seat (capped at 10,000), and 500 Sparks per seat for AI features like Concierge and intake risk-scoring (capped at 5,000, where 1 Spark equals 1 cent). Overage runs through your Wallet with prepaid balance and auto top-up. No per-SMS line item, no surprise bill at the end of the month.
Most spas and wellness venues are live within 24 to 48 hours of starting their trial. Your service menu, room and equipment mapping, deposit rules, intake forms and waivers, prepaid package structure, and storefront branding can be configured in an afternoon. If you're migrating from another platform, we handle the client, package-balance, and booking history import for you in parallel. From signup to taking real bookings is usually under a week, even with a full data migration.
Yes, and migration is free. We pull your client list, service menu, staff, past appointments, and outstanding package balances out of your existing system and into OpenChair. We support imports from Mindbody, Fresha, Timely, Phorest, Vagaro, Boulevard, and Mangomint, plus CSV exports from anywhere else. Consent records, treatment notes, and before/after photos come across where your previous system exposes them. If they don't, we help your team set up structured client memory from the first OpenChair visit forward.
Recurring-billing membership tiers are on the OpenChair roadmap (in progress). Today, the closest substitute is recurring series appointments (book a client's next twelve facials at checkout, scheduled across your roster) plus prepaid packages (sell a six-pack of treatments with balance tracking). If a true membership tier with monthly billing is mission-critical for your venue today, tell us during onboarding. We'll be upfront about timing rather than over-promise.
No. OpenChair is month-to-month by default. Cancel any time from your account, and you take your data with you: client history, consent records, treatment photos, package balances, the full set. Annual billing is available if you want to lock in a discount. Pay for ten months, get twelve. Annual is opt-in, never the default.
Still working through it? The fastest way to know if OpenChair fits your venue is to try it.
