Staff Rota

A staff rota is a schedule that defines which team members are working on each day, at which hours, so that appointments can be offered accurately to clients and the business can plan staffing appropriately.

A staff rota (sometimes called a roster or work schedule) defines the working hours of each team member on a day-by-day basis. In a salon context, the rota determines when each stylist is available to take bookings.

Without an accurate rota in your scheduling system, clients may be able to book appointments outside a stylist's actual working hours. This leads to double-booking errors, client frustration when appointments are cancelled, and administrative work for the team to correct.

Managing a rota becomes more complex as team size grows. A solo stylist can update their own availability easily. A team of eight with different working days, varying hours, part-time arrangements, and holiday cover requires a system that reflects the real schedule at all times.

Modern salon scheduling software manages rotas digitally. Staff members can have set weekly schedules plus the ability to modify specific days for exceptions. Managers can approve or override changes. Holiday and leave periods block out the stylist's availability automatically so no bookings are accepted during their absence.
