Weekly Roster and Availability

Weekly roster is the owner and manager view for checking staff cover, one-off availability changes, and blocked time across a week. It lives under Team > Roster on web and the Roster screen on mobile. Web roster cells can be edited as date-specific overrides, while mobile shows the week and opens the staff schedule screen for recurring schedule edits.

What is the weekly roster?

Weekly roster is a seven-day grid of active staff availability. Each row is a staff member, each column is a date, and each cell shows either the working time range or Off.

The roster combines several availability signals:

Roster overrides are date-specific. Changing Thursday this week does not change the staff member's Thursday hours next week.

How do you edit a one-off roster day?

Edit a one-off roster day from the web roster grid. The edit writes an override for that staff member and date, then booking availability uses that override anywhere the date is checked.

  1. Go to Team.
  2. Open the Roster tab.
  3. Use Previous week, Next week, or Today to choose the week.
  4. Select the staff member's day cell.
  5. Set the switch to Working or Off.
  6. If the day is Working, set Start time and End time.
  7. Add a Reason (optional) if the change needs context.
  8. Click Save.

If the cell already has an override, the editor shows One-off override and a Reset to recurring hours action. Use that action when the day should fall back to the staff member's normal weekly schedule.

Warning

Reducing availability can conflict with existing bookings. If OpenChair finds affected bookings, review the conflict dialog before forcing the save. Forced saves do not automatically move or cancel the bookings.

How do recurring hours and exceptions work?

Recurring hours live on the staff profile Availability tab, while exceptions cover time off, recurring breaks, and calendar-backed blocks. Use recurring hours for normal working patterns and exceptions for dates or short periods that should not change the weekly schedule.

On the Availability tab, the Working hours card includes:

Control What it does
Show on booking page Makes the provider visible to customers when they have eligible working time.
Weekday switch Marks each weekday as working or not working.
Start and end time fields Set that weekday's recurring working window.
Online Lets customers choose available times for that provider and weekday.
Appointment only Keeps the hours internal and routes customers to a request or contact flow.
Use business hours Copies the current business hours into the staff schedule.
Edit custom hours -> Changes a business-hours-matched schedule into custom staff hours.
Copy business hours -> Replaces the staff schedule with the venue's business hours.

The Exceptions card shows time off, recurring breaks, calendar connection status for owners, planned departure context, and upcoming blocks. Use Add time off for leave and Add recurring break for repeated breaks.

How do Appointment only weekdays affect online booking?

Appointment only weekdays stop customers from self-booking that provider on the selected weekday, but they do not remove the provider's internal working hours. Customers are sent to request or contact the salon instead of choosing a confirmed time.

This is different from turning Show on booking page off:

Show on booking page off Customers do not see the provider's online times. Internal staff hours are still stored.
Day set to Off Customers cannot book that provider on that day. The provider is not working for that weekday or override date.

Appointment-only policies are saved per weekday for the provider. Public booking checks those policies when returning available dates and available slots.

Platform differences

Weekly roster is editable on web and review-first on mobile. Mobile users can view the weekly roster and tap into an individual staff schedule, but one-off roster cell overrides are web-first.

Who can use this

Role Access
Owner Can view and edit weekly roster overrides, recurring hours, exceptions, and client booking modes.
Manager Can view and edit roster and availability for team members they are allowed to manage.
Staff Cannot open the venue-wide web roster. Staff schedule editing is limited to their own allowed schedule surfaces.

Common mistakes

Setting Appointment only is not the same as setting a day to Off. Appointment-only days still keep the provider's internal hours active.

Changing the weekly schedule for one day of leave creates future side effects. Use a roster override or Add time off for a date-specific change.

Forcing a narrowed roster save does not reschedule bookings. Review affected bookings in the calendar after saving.

Troubleshooting

Issue Solution
A staff member has no slots online Check Show on booking page, the weekday working switch, venue business hours, assigned services, and whether the weekday is set to Appointment only.
The roster cell shows Off but the staff member usually works that day Open the cell and check whether it is a One-off override. Use Reset to recurring hours if the normal schedule should apply.
Customers can only send an enquiry for one provider on a weekday Open the staff member's Availability tab and change that weekday from Appointment only to Online.
A save warns about booking conflicts Review the listed bookings. If you force the save, manually reschedule or cancel the affected bookings afterwards.
Mobile does not show the one-off override editor Use web Team > Roster for one-off roster cell overrides. Mobile roster focuses on viewing the week and opening staff schedules.
