Weekly Roster and Availability
Weekly roster shows team availability, one-off overrides, time off, and appointment-only days so booking slots stay accurate.
Last updated 28 July 2026
TL;DR
- Weekly roster shows active staff as rows and seven days as columns, so owners and managers can see cover for the selected week.
- Web and native mobile users can save one-off overrides without changing recurring Working hours.
- Working hours on each staff profile controls recurring hours, time off, recurring breaks, and client booking mode.
- Use Appointment only for days when a provider works internally but customers should send an enquiry instead of choosing a time online.
Weekly Roster is where owners and managers plan when the team is rostered and available for bookings. Changes here do not record hours worked. It lives under Team > Roster on web and the Roster screen on mobile. Select a date on either platform to create a one-off roster change; use the staff member's Working hours for their recurring schedule.
Roster is separate from workforce attendance: Roster plans availability, Time clock records when someone actually starts and finishes work, and Timesheet reviews those recorded hours. Roster hours are not copied into Timesheet.
What is the weekly roster?
Weekly roster is a seven-day grid of active staff availability. Each row is a staff member, each column is a date, and each cell shows either the working time range or Off.
The roster combines several availability signals:
| Signal | Where it comes from | What the roster shows |
|---|---|---|
| Recurring staff hours | Staff profile Working hours | Normal working hours for that weekday |
| One-off roster change | Team > Roster cell editor | A pin marker and the changed time or Off |
| Time off or blocked time | Staff Exceptions or Calendar block-outs | Blocked-time context on the affected day |
| Venue closure | Calendar closures | Closure context on the affected day |
Roster overrides are date-specific. Changing Thursday this week does not change the staff member's Thursday hours next week.
How do you edit a one-off roster day?
Edit a one-off roster day from the roster on web or native mobile. The edit writes an override for that staff member and date, then booking availability uses that override anywhere the date is checked.
- Go to Team.
- Open Roster directly from the Team group in the sidebar.
- Use Previous week, Next week, or Today to choose the week.
- Select the staff member's date.
- Set the switch to Rostered or Off.
- If the day is Rostered, set Start time and End time.
- Add a Reason (optional) if the change needs context.
- Select Save.
If the cell already has a change, the editor shows One-off roster change and a Reset to recurring hours action. Use that action when the day should fall back to the staff member's normal weekly schedule.
Warning
Reducing availability can conflict with existing bookings. This includes resetting a wider override to narrower recurring Working hours. If OpenChair finds affected bookings, review the warning before forcing the change. Forced changes do not automatically move or cancel bookings.
How do recurring hours and exceptions work?
Recurring hours live under Working hours on the staff profile, while exceptions cover time off, recurring breaks, and calendar-backed blocks. Use recurring hours for normal working patterns and exceptions for dates or short periods that should not change the weekly schedule.
The Working hours surface includes:
| Control | What it does |
|---|---|
| Show on booking page | Makes the provider visible to customers when they have eligible working time. |
| Weekday switch | Marks each weekday as working or not working. |
| Start and end time fields | Set that weekday's recurring working window. |
| Online | Lets customers choose available times for that provider and weekday. |
| Appointment only | Keeps the hours internal and routes customers to a request or contact flow. |
| Use business hours | Copies the current business hours into the staff schedule. |
| Edit custom hours -> | Changes a business-hours-matched schedule into custom staff hours. |
| Copy business hours -> | Replaces the staff schedule with the venue's business hours. |
The Exceptions card shows time off, recurring breaks, calendar connection status for owners, planned departure context, and upcoming blocks. Use Add time off for leave and Add recurring break for repeated breaks.
How do Appointment only weekdays affect online booking?
Appointment only weekdays stop customers from self-booking that provider on the selected weekday, but they do not remove the provider's internal working hours. Customers are sent to request or contact the salon instead of choosing a confirmed time.
This is different from turning Show on booking page off:
| Setting | Customer effect | Internal schedule effect |
|---|---|---|
| Online | Customers can choose eligible available times. | Working hours remain active. |
| Appointment only | Customers send an enquiry instead of choosing a time. | Working hours remain active internally. |
| Show on booking page off | Customers do not see the provider's online times. | Internal staff hours are still stored. |
| Day set to Off | Customers cannot book that provider on that day. | The provider is not working for that weekday or override date. |
Appointment-only policies are saved per weekday for the provider. Public booking checks those policies when returning available dates and available slots.
Platform differences
Weekly roster supports date-specific editing on web and native mobile. The interaction follows each platform: an anchored cell editor on web and a native date editor on mobile.
| Task | Web | Mobile |
|---|---|---|
| Open roster | Roster in the sidebar's Team group | Roster in Team navigation or a team schedule link |
| Change week | Previous week, Next week, Today | Previous week, Next week, Today |
| Edit one-off day override | Select a roster cell and choose Save | Tap a date, edit, and save |
| Reset an override | Reset to recurring hours | Reset to recurring hours |
| Edit recurring staff schedule | Staff profile Working hours | Staff Working hours |
| Appointment-only weekday mode | Staff profile Working hours | Not exposed in the roster screen |
Past weeks are read-only on both platforms.
Settings
| Setting | Options | Default |
|---|---|---|
| Show on booking page | On, Off | On for bookable providers |
| Recurring weekday | Working, Off | Off when no schedule exists |
| Working time | 30-minute time slots | 9:00 AM to 5:00 PM fallback |
| Client booking mode | Online, Appointment only | Online |
| One-off roster change | Rostered, Off, optional reason | Uses recurring hours until a change is saved |
Who can use this
| Role | Access |
|---|---|
| Owner | Can view and edit weekly roster overrides, recurring hours, exceptions, and client booking modes. |
| Manager | Can view and edit roster and availability for team members they are allowed to manage. |
| Staff | Cannot open the venue-wide web roster. Staff schedule editing is limited to their own allowed schedule surfaces. |
Common mistakes
Setting Appointment only is not the same as setting a day to Off. Appointment-only days still keep the provider's internal hours active.
Changing the weekly schedule for one day of leave creates future side effects. Use a roster override or Add time off for a date-specific change.
Forcing a narrowed roster save does not reschedule bookings. Review affected bookings in the calendar after saving.
Troubleshooting
| Issue | Solution |
|---|---|
| A staff member has no slots online | Check Show on booking page, the weekday working switch, venue business hours, assigned services, and whether the weekday is set to Appointment only. |
| The roster cell shows Off but the staff member usually works that day | Open the cell and check whether it is a One-off roster change. Use Reset to recurring hours if the normal schedule should apply. |
| Customers can only send an enquiry for one provider on a weekday | Open the staff member's Working hours and change that weekday from Appointment only to Online. |
| A save warns about booking conflicts | Review the listed bookings. If you force the save, manually reschedule or cancel the affected bookings afterwards. |
| Resetting an override warns about bookings | The recurring Working hours are narrower than the override. Review the listed bookings, then cancel or confirm the reset. |
FAQ
What is the weekly roster?
The weekly roster is the Team view that shows active staff across seven days, including recurring hours, one-off overrides, time blocks, and closures. Owners and managers use it to check cover and adjust date-specific availability.
How do I make one day different from the usual schedule?
Open Team > Roster, choose the week, select the staff member's date, set Rostered or Off, adjust the times if needed, add an optional reason, and select Save. The change applies only to that staff member and date on web and native mobile.
What does Appointment only mean for a staff member?
Appointment only keeps the provider's working hours active internally, but customers cannot choose a confirmed time for that provider on that weekday. Customers are sent to request or contact the salon instead.
Who can edit roster overrides?
Owners and managers can edit roster overrides on web and native mobile. Staff cannot edit the venue-wide roster.
