Reports
Find Reports and AI Answers
Search or describe a reporting need, open deterministic matches for free, and optionally approve a quoted PRO AI answer.
Last updated 26 July 2026
The Reports search helps owners and managers find the right reporting surface without memorising every report name. It combines instant local catalogue search with server-authorised matching and an optional, explicitly priced AI answer.
Where to find it. Web: Reports -> Find reports. Mobile: Reports -> Find reports.
TL;DR
- Search by report name or describe a need such as "Why was revenue down this week?"
- Local and deterministic report matching works without AI or Sparks.
- PRO venues can choose an AI answer only after OpenChair displays the exact Spark price.
- AI receives aggregate facts and visible report metadata, never raw customer or appointment rows.
- Validated answers cite only the evidence and source reports supplied to the AI.
What Find Reports Does
Find reports turns a plain-English need into a reporting path. It can:
- recommend the best source report
- show up to three related reports
- explain why each report is relevant
- preserve the authorised period when opening the report
- identify when a matching destination is locked by plan or role
- offer an optional aggregate AI answer with an exact active-rate Spark quote
- refuse an answer whose numbers or source references are not present in the supplied facts
Asking A Question
On web:
- Open Reports.
- Use Find reports.
- Search by title or describe what you need.

- Open a matching report, or review and explicitly accept Get AI answer — N Sparks when offered.
The / keyboard shortcut focuses the Ask Reports input on web when you are not already typing in another field.
On mobile:
- Open Reports.
- Use the search field, then tap Find reports for a described need.
- Tap a recommended available report, or review and explicitly accept the quoted AI price when offered.
Suggested questions include:
- Why was revenue down this week?
- Are no-shows getting worse?
- Which report should I use for payroll?
Results And Evidence
Results may include:
| Item | What it means |
|---|---|
| Best report | The strongest report match for the question |
| Also useful | Secondary reports worth checking |
| Evidence | The source reports and date range behind the answer |
| Printable report | The source report has a print route |
| CSV export available | The source report has an export option |
| PRO | The report requires PRO if your venue is not already on PRO |
Select Open source report to inspect the source data before acting on the answer.
Plan And Spark Behaviour
Report matching works on all plans and does not call an AI provider or spend Sparks. FREE venues can identify available reports and can see exact locked matches without gaining access to them.
For an interpretive PRO request, OpenChair may return a short-lived signed offer showing the current Spark price. Nothing is charged until you press Get AI answer — N Sparks. The commit rechecks access, scope, expiry, balance, and current price; a stale price requires a new quote. A failed or invalid answer is not left charged.
Limits
The experience has deliberate limits:
- It is available to owners and managers only.
- It does not dump raw customer or appointment rows.
- It blocks questions that try to reveal prompts, bypass controls, or expose customer data.
- It asks for clarification when the question is too broad.
FAQ
Who can use Find reports?
Owners and managers can use it from the Reports hub. Team members do not have access to venue-wide Reports.
Does report matching work on FREE?
Yes. Deterministic matching is free. Interpretive AI answers require PRO, available Sparks, and explicit approval of the displayed price.
Can an AI answer show raw customer or appointment rows?
No. AI receives aggregate facts and visible report metadata only. Open the source report to inspect authorised underlying records.
