Group Admin Reporting and Operations
TL;DR
- Group admin reporting and operations are web-only All locations surfaces for enabled PRO groups.
- Reports for [group] opens group-capable reports with location scope, dates, CSV exports, and print views preserved.
- All locations operating overview compares linked locations by operational and financial signals.
- All locations inbox is oversight only: replies stay in the source venue inbox.
- Operations is internal control only and does not trigger customer-visible messaging, settings, or billing changes.
Group Admin Reporting and Operations helps multi-location operators review all enabled locations from one group workspace. The surfaces are behind rollout gates, so not every multi-venue account will see them. They are separate from the public group storefront and from individual venue reports.
Where to find it - Web: Open the All locations workspace for an enabled group, then use Reports, Overview, Inbox, or Operations. Mobile: Not available.
Access and rollout requirements
Group admin reporting and operations require a linked group workspace, PRO access where reporting data is consolidated, and the relevant rollout gate. Some groups may only have part of the workspace enabled.
| Surface | Requirements |
|---|---|
| Reports | PRO group reporting access and GROUP_ADMIN_CONSOLE_ENABLED. |
| Overview | PRO group operating overview access and GROUP_ADMIN_CONSOLE_ENABLED. |
| Inbox | Group admin console access plus group inbox oversight permission. |
| Operations | GROUP_ADMIN_CONSOLE_ENABLED and GROUP_ADMIN_OPERATIONS_CONTROLS_ENABLED. |
If access is missing, the UI can show You do not have access to group reporting, You do not have access to this overview, Group inbox unavailable, or Operations are unavailable.
Group reports
Group reports open group-capable reports with selected locations, dates, exports, and print views preserved. The page heading is Reports for [group name] and the page description says it opens group-capable reports with location scope, dates, exports, and print views preserved.
Use Reporting scope to choose locations and the reporting period. The report library can show Recent group reports, report groups, and per-report actions.
| Control | What it does |
|---|---|
| Refresh | Reloads the reports home. |
| All locations home | Returns to the group home. |
| Open | Opens the selected group-capable report. |
| CSV | Opens the CSV export path when the report supports CSV export. |
| Opens the print view when the report supports print. |
Group reporting can show blocked states when consolidation is not safe:
| Blocked state | Meaning |
|---|---|
| No linked locations | Link locations to the group before using all-location reporting. |
| Mixed currencies cannot be consolidated | Select locations that use the same reporting currency. |
| Selected scope includes a non-PRO location | Every selected location must have PRO access before consolidated reports can run. |
| No PRO locations available | At least one linked location needs PRO access. |
| Location unavailable | A selected location is no longer available to the group or account. |
Operating overview
The group operating overview compares selected linked locations across the current date range. It keeps the range and selected venueIds in the URL so source reports, print views, and row details stay scoped to the same locations.
The page can show All locations, the group name, Refresh, Print, and All locations home. The Overview scope panel lets operators choose presets such as Today, Yesterday, This week, and Last week, or apply a custom date range.
The overview compares signals including bookings, safe revenue, forward bookings, cancellations, no-shows, capacity, and waitlist movement. It can also open source reports for a selected row. If there are no bookings, the page can show No bookings in this period.
Inbox oversight
All locations inbox aggregates conversations that need group-level attention. The page label is All locations inbox and it can show Needs HQ attention or Read only.
The inbox focuses on overdue, escalated, complaint, unassigned, and AI-review conversations across linked accessible locations. Filters can narrow by venue, channel, status, urgency, assignee, unanswered age, and AI-review state.
Opening a row shows Conversation preview with the description Read-only group oversight. Replies stay in the source venue inbox.
| Control | What it does |
|---|---|
| Open source conversation | Opens the original conversation in the source venue. |
| Escalate | Escalates the oversight item when the user can manage the group inbox. |
| Resolve | Marks the oversight item resolved when permitted. |
| Hand back to location | Sends the item back to the source location queue when permitted. |
| Retry | Reloads the group inbox or preview after an error. |
| Back to All locations | Returns to the group workspace. |
Note
Group inbox oversight does not send replies. Staff still reply from the source venue inbox.
Operations controls
Operations controls are internal group follow-up tools. The page label is Operations and it can show Feature flag enabled when the surface is available.
The workspace helps group operators prioritise exceptions, assign internal follow-ups, and review location health signals without changing customer-visible settings.
| Area | What it shows |
|---|---|
| Open | Count of open exceptions. |
| SLA breached | Count of exceptions past the configured SLA. |
| Daily checklist | Internal checklist items that can be marked complete. |
| Exception queue | Exceptions filtered by source domain and state. |
| Follow-ups | Internal tasks that can be created, edited, assigned, completed, or archived. |
| Location health scores | Linked location health status such as healthy, needs follow-up, or critical. |
| SLA settings | Per-group SLA thresholds and active or disabled status. |
Common controls include Save view, SLA settings, Refresh, Back, Create task, Edit task, Update task, and Create task.
Who can use this
Access depends on the group role, venue access, plan state, and rollout gates. The table below describes the intended access pattern from the shipped surfaces.
| Role | Access |
|---|---|
| Group owner | Can use group reports, operating overview, inbox oversight management, and operations controls when the group is enabled. |
| Regional manager | Can use group reports, operating overview, inbox oversight management, and operations controls where granted. |
| Location manager | Can appear in group inbox oversight for locations they can access; management actions depend on group permissions. |
| Venue staff | Uses the source venue workflows. Group admin reporting and operations are not mobile or staff-facing surfaces. |
Common mistakes
Assuming every grouped venue can be consolidated. Group reports can block when selected locations use mixed currencies, lack PRO access, or are unavailable to the group.
Replying from group inbox oversight. The group inbox preview is read-only. Use Open source conversation to reply from the venue inbox.
Using Operations to change venue settings. Operations controls are internal exception, task, checklist, health, and SLA tools. They do not change customer-visible settings.
Troubleshooting
| Issue | Solution |
|---|---|
| You do not have access to group reporting | Return to All locations and open an available reporting group. Confirm the group admin console is enabled. |
| Mixed currencies cannot be consolidated | Select locations that use the same currency before opening consolidated reports. |
| Selected scope includes a non-PRO location | Remove the non-PRO location from the selected scope or upgrade the location. |
| Group inbox unavailable | Click Retry. If it still fails, confirm the group is inside the enabled rollout and your account has inbox oversight permission. |
| Operations are unavailable | Click Retry or return to All locations. Confirm operations controls are enabled for the group. |
