Group Admin Rollouts
Use group admin rollouts to preview and apply HQ-approved changes across selected linked PRO locations.
Where to find it - Web: All locations -> Brand & campaigns -> Review rollout for group email templates, or All locations -> Policies -> Review policy -> Apply policy. Mobile: Not available.
TL;DR
- Group rollouts are available only for enabled multi-location PRO groups.
- Template rollouts create HQ-approved draft campaigns from group email templates.
- Policy rollouts apply Notification timing defaults or Campaign and discount guardrails from HQ.
- Always click Preview rollout before applying so conflicts, skipped rows, unchanged rows, and affected locations are visible.
- Local override conflicts block apply until the override mode or selected locations are changed.
Requirements
Group admin rollouts require a linked group workspace with rollout access enabled. The rollout feature is behind the group admin console and group rollout flags, so some groups may see Group rollout previews are disabled for this group.
The confirmed requirements are:
| Requirement | Details |
|---|---|
| Plan | Linked locations must be on PRO to receive rollout changes. |
| Workspace | Rollouts run from All locations group pages. |
| Permission | Group owner or regional manager access is required. |
| Feature access | The group admin console and rollout preview must be enabled for the group. |
| Platform | Web only. Mobile has no rollout screen. |
What group rollouts can apply
Group rollouts can apply template adoption and two group policy domains. The rollout framework uses adapters so each rollout can preview, apply, and save location results in the same table format.
| Rollout type | Entry point | What it applies | Rollback support |
|---|---|---|---|
| Brand template adoption | Brand & campaigns -> Review rollout | Creates HQ-approved draft campaigns from a group email template. | Supported |
| Notification timing defaults | Policies -> Review policy -> Apply policy | Standardises quiet hours and appointment reminder timing across locations. | Supported |
| Campaign and discount guardrails | Policies -> Review policy -> Apply policy | Keeps promotional discount thresholds and campaign review requirements under HQ policy. | Not supported |
Brand Block rollouts are not available yet. If you open rollout from a Brand Block, the sheet shows Template rollout is available first.
Preview a template rollout
Previewing a template rollout shows which locations can receive an HQ-approved draft before anything is created.
- Open All locations.
- Open Brand & campaigns.
- Find a group-owned Template in Group-owned assets.
- Open the row actions menu or asset detail sheet.
- Select Review rollout.
- Choose a Local overrides mode.
- Select Target locations.
- Click Preview rollout.
- Review the Group rollout location results table.
- Click Apply to selected locations only when the preview has no blocking conflicts.
When the template rollout is applied, OpenChair creates a draft campaign for each eligible selected location. The draft uses the group email template, keeps the group template lock metadata, and is named after the template with rollout draft added.
Apply a policy rollout
Applying a policy rollout lets HQ set supported defaults across selected locations after reviewing local status.
- Open All locations.
- Open Policies.
- Select Review policy on Notification timing defaults or Campaign and discount guardrails.
- Review Controls and Does not control in the policy detail sheet.
- Review the Group policy location status table.
- Click Apply policy.
- Choose Local overrides.
- Select Target locations.
- Click Preview rollout.
- Review the result rows.
- Click Apply to selected locations only when the preview is current and has no conflicts.
Policy rows can show Inherited from HQ, Local override, Blocked, or Not supported before rollout. The rollout preview then converts selected rows into rollout statuses such as Affected, Skipped, Unchanged, or Conflict.
Local override modes
Local override mode controls whether HQ respects local work or applies a new group decision.
| Rollout surface | Mode | Effect |
|---|---|---|
| Template rollout | Preserve local overrides | Locations with local campaign branding stay as conflicts and cannot be applied. |
| Template rollout | Create HQ draft beside overrides | OpenChair leaves local campaign work intact and creates a new HQ-approved draft beside it. |
| Policy rollout | Preserve local override | Locations with local overrides stay as conflicts and cannot be applied. |
| Policy rollout | Replace local override | The HQ policy becomes the controlling default for selected eligible locations. |
Warning
Replacement mode affects local settings. Use it only when HQ should control the selected policy or create a new approved campaign draft beside local work.
Result statuses
Rollout result statuses explain what will happen before apply and what happened after apply.
| Status | Meaning |
|---|---|
| Affected | The selected location needs the rollout and can receive it. |
| Skipped | The location is not eligible, often because it is not on PRO. |
| Unchanged | The location already has the template or policy state. |
| Conflict | A local override blocks apply until the override mode or selection changes. |
| Applied | The rollout wrote the change for that location. |
| Failed | The rollout attempted the change but the location returned an error. |
The Source column can show Open when OpenChair can link to the affected campaign, setting, or policy source. Rows with rollback metadata show Rollback available.
Rollout settings
The rollout sheet has a small set of controls that must match the preview before apply.
| Setting | Options | Default |
|---|---|---|
| Local overrides for template rollout | Preserve local overrides, Create HQ draft beside overrides | Preserve local overrides |
| Local overrides for policy rollout | Preserve local override, Replace local override | Preserve local override |
| Target locations | Linked locations shown as checkboxes | All available locations selected when the sheet opens |
If you change the override mode or target locations after previewing, OpenChair treats the preview as stale. Click Preview rollout again before applying.
Who can use this
Rollout access is intentionally limited because it can affect multiple locations.
| Role | Access |
|---|---|
| Group owner | Can preview and apply rollouts when rollout is enabled. |
| Regional manager | Can preview and apply rollouts when rollout is enabled. |
| Location owner or manager | May review related group assets or local policy state, but cannot apply group rollouts unless they also have group owner or regional manager access. |
| Team member | No group rollout access. |
Common mistakes
Do not apply from an old preview. If you change Target locations or Local overrides, click Preview rollout again.
Do not expect Brand Blocks to roll out yet. The current visible brand rollout path is for group email templates first.
Do not expect a skipped location to receive a rollout. A common skipped reason is This location is not on the PRO plan.
Do not use replacement mode casually. For policies, replacement mode makes HQ policy control the selected local setting.
Troubleshooting
| Issue | Solution |
|---|---|
| Group rollout previews are disabled for this group. | The rollout feature is not enabled for the group. Review assets or policies without applying a rollout. |
| Select at least one location before previewing rollout. | Tick at least one checkbox under Target locations, then click Preview rollout. |
| Preview has changed. Refresh before applying. | Click Preview rollout again after changing locations or override mode. |
| Resolve local override conflicts before applying. | Remove conflict locations from the selection or choose the replacement mode that matches the rollout surface. |
| No selected locations need this rollout. | The selected locations are already unchanged, skipped, or otherwise not affected. Select different locations or close the sheet. |
| Template rollout is available first | You opened rollout for a Brand Block. Use a group-owned email template instead. |
FAQ
What are group admin rollouts?
Group admin rollouts let a multi-location PRO group preview and apply HQ-approved template or policy changes to selected linked locations. The preview shows affected, skipped, unchanged, conflict, applied, and failed rows before and after apply.
Who can apply a group rollout?
Group owners and regional managers can preview and apply rollouts when the group admin rollout feature is enabled for the group. Other users can be blocked with Group owner or regional manager permission is required.
What happens when a template rollout is applied?
OpenChair creates an HQ-approved draft campaign for each eligible selected location from the group email template. Existing local work is not deleted by template rollout replacement mode; the new HQ draft is created beside local campaign work.
Why is Apply disabled during a rollout?
Apply is disabled when no locations are selected, the preview is stale, conflicts are present, or no selected locations need the rollout. The footer explains the current reason beside Preview rollout and Apply to selected locations.
