Group Brand Email Template Governance
Use group-owned email templates and Brand Blocks to keep campaign branding consistent across linked PRO locations.
Where to find it - Web: All locations -> Brand & campaigns. Venue teams also see group assets inside Campaigns -> Templates and the campaign email editor. Mobile: Not available.
TL;DR
- Brand & campaigns shows group-owned campaign email templates and Brand Blocks for a multi-location group.
- The page tracks Assets, Active, Templates, and Needs attention counts.
- Use filters for Asset type, Status, and Usage to find templates, Brand Blocks, archived assets, local overrides, and unavailable usage.
- Group owners and regional managers can manage group-owned assets. Other group users may have Read-only access.
- Locked group content can stop a location from editing specific blocks or brand fields inside a campaign.
Requirements
Group brand email template governance requires:
- linked PRO locations in an OpenChair group
- access to the All locations group workspace
- the group admin console enabled for that group
- group owner or regional manager access for management actions
Location managers can still review many group signals when the page shows Read-only, but management actions can be blocked with Group owner or regional manager permission is required.
What group assets are
Group-owned campaign assets can be:
| Asset type | Where teams use it |
|---|---|
| Template | The campaign Templates picker and Campaigns -> Templates. |
| Brand Block | The campaign email editor Add block menu under Brand Blocks. |
Venue campaign tools label group assets separately from local assets. The email template picker shows Venue templates and Group templates. The Brand Block picker adds Group to group-supplied blocks.
Review group assets
Open All locations -> Brand & campaigns. The page header shows either Management enabled or Read-only.
The summary cards show:
| Card | Meaning |
|---|---|
| Assets | Total group-owned templates and Brand Blocks in the current filter. |
| Active | Active group-owned assets. |
| Templates | Group-owned email template count. |
| Needs attention | Assets with adoption, override, or consistency warnings. |
The main table is Group-owned assets. It shows:
- Asset: name, type, group owner label, and number of sections
- Lock state: Locked by HQ or No locked fields or sections
- Usage: how many linked locations use the group brand and how many use local overrides
- Consistency: Consistent, Needs attention, Not adopted, or Archived
Select an asset row or View detail to open the asset detail sheet.
Filter the table
Use the filters at the top of Group-owned assets.
| Filter | Options |
|---|---|
| Asset type | All assets, Templates, Brand Blocks |
| Status | All statuses, Active, Archived, Needs attention |
| Usage | All usage, Uses group brand, Location override, Custom override, Unavailable |
Use Needs attention when checking campaign brand drift before a rollout. Use Custom override to find campaigns where a location has campaign-specific brand settings instead of group-approved branding.
Understand lock states
Group assets can lock sections or fields so locations keep approved brand treatment.
The table shows the lock summary and counts:
- locked sections
- locked fields
The detail sheet shows Locked by HQ with plain-language descriptions. Examples include:
- a section is locked so locations keep approved layout and content
- brand colour source is locked by HQ
- logo source is locked by HQ
- button style, corner style, content density, header style, or section order is locked
When a group template or Brand Block is applied in a campaign, locked content can show Locked by group template in the editor. Locked blocks cannot be moved, edited, duplicated, saved again, or removed by a location user unless they can manage the source group asset.
Lock presets for group template creation
When the group template save flow is enabled for your workspace, Save email template can include Scope and lock controls. Choose Group, select the Group, then apply a lock preset or individual field locks.
| Lock preset | What it locks |
|---|---|
| Brand strict | Logo, accent, button style, corner style, and content density. |
| Layout locked | Block order and branded header/footer structure. |
| Copy flexible | Brand identity only. Teams can edit copy and images. |
Individual lock fields include Logo source, Accent source, Button style, Corner style, Content density, Header style, and Block order.
Location inheritance
Open an asset detail sheet to review Location inheritance.
| Status | Meaning |
|---|---|
| Uses group brand | The location has campaigns using the group asset. |
| Location override | The location has campaigns that do not use that group asset. |
| Custom override | The location has campaigns with custom email branding. |
| Usage unavailable | Campaign usage could not be loaded or no campaign usage was found yet. |
The right-hand panel, Brand consistency warnings, groups warning rows by location.
| Warning | Meaning |
|---|---|
| No campaign brand drift found | Linked locations are clear against current group assets. |
| [Location] has custom campaign branding | Review the local campaign before rollout so approved brand fields are not overwritten. |
| [Location] is using location overrides | Campaigns exist for that location, but they are not using all approved group assets. |
Use Open affected asset to jump from a warning to the relevant asset detail.
Available actions
Use the row actions menu or the detail sheet footer.
| Action | What it does |
|---|---|
| View detail | Opens the asset detail sheet. |
| Open template | Opens the source template when you have permission and an accessible source location exists. |
| Open editor | Opens the source editor for a Brand Block when available. |
| Review rollout | Opens rollout preview when group rollout previews are enabled for the group. |
| Refresh | Reloads group asset and usage data. |
| Back to All locations | Returns to the group workspace. |
If an action is unavailable, OpenChair shows the reason in the menu or button help text, such as No accessible source location is available. or Group rollout previews are disabled for this group.
What location teams can do
In a venue workspace, open Campaigns -> Templates to manage local email templates. The page separates Venue templates and Group templates.
| Action | Venue template | Group template |
|---|---|---|
| Rename | Available | Not available from the venue template list |
| Duplicate | Available | Available, creates a venue-owned copy |
| Archive | Available | Not available from the venue template list |
Duplicating a group template creates a local venue template copy. The copy is useful for one-off local campaigns, but it does not update the group-owned asset and does not keep the original group lock metadata.
Troubleshooting
| Issue | What to check |
|---|---|
| Brand & campaigns is unavailable | Return to All locations and retry. Confirm the group admin console is enabled for the group. |
| Read-only | You can review assets, but management actions require group owner or regional manager access. |
| No group-owned assets match these filters | Clear filters or create an approved template or Brand Block from an enabled group template workflow. |
| Some location usage is unavailable | Campaign usage could not be loaded for every location. Refresh and check again later. |
| Group rollout previews are disabled for this group. | Rollout preview is not enabled for the group. Review the asset without rollout preview. |
| Locked by group template | The campaign content came from a group asset. Ask a group owner or regional manager to update the group asset. |
FAQ
What does group brand email template governance do?
It lets a multi-location PRO group review group-owned email templates and Brand Blocks, see which locations use them, and identify local campaign brand overrides.
Who can manage group email templates?
Group owners and regional managers can manage group-owned template assets. Other linked location users may see Brand & campaigns in Read-only mode depending on their group access.
Can a location edit a locked group template?
No. Locked blocks and fields must be changed from the group-owned asset by someone with group owner or regional manager access. Location users see Locked by group template when they cannot edit that content.
Can locations duplicate a group template?
Yes. The venue Email templates page lets users duplicate a group template into a venue-owned copy. The copy is local to that venue and does not keep the group lock metadata.
